Personal Data Policy

At Klätterverket, we collect personal data in various contexts in order to improve your experience as a customer of our services. As a customer, you have the right to know which personal data we hold about you, what we use this data for, and who has access to it.

At Klätterverket, we always process your personal data with a high level of confidentiality, and we do not sell your personal data to third parties without your consent.

WHAT PERSONAL DATA DO WE COLLECT, AND WHAT IS IT USED FOR?

When booking a course at Klätterverket

This information is used to be able to contact you with information regarding the course you have booked. You may also be contacted after the course with a course evaluation. This is to help us improve our courses. The evaluation is completely voluntary, and you will not be contacted again if you choose to ignore it.

The personal data is stored for a maximum of 2 years before being deleted.

When you purchase a punch card, period card, or sign up as a member and become a registered customer

This information is used to manage your membership or training card during its validity period, but also after the validity period in order to see which training cards you have previously purchased, handle refunds, complaints, and view your training history with us.

If you are a member with us, you will also receive our member newsletter via email. You can opt out of this mailing when you sign up as a customer, and there is also the option to unsubscribe from newsletters in every mailing.

The personal data is stored for a maximum of 1 year after you have stopped being a customer with us.

When creating a top-rope card and lead climbing card (Green and Red card)

This information is used so that you, as a customer, can prove that you are authorized to belay at Klätterverket. When you receive your green or red card, you will be asked whether you also want to be included in our register. This is completely optional, but if you are not included and lose your green or red card, you will be required to complete a new assessment climb to receive a new card.
You can contact Klätterverket at any time to be removed from the register.

When you register your child for the Klätterakademin waiting list

  • Child’s name
  • Child’s personal identity number
  • Guardian’s name
  • Guardian’s phone number
  • Guardian’s email address


This information is used to administer waiting list places for Klätterakademin and to contact the guardian when a place becomes available.

We store this information until the child is offered a place in Klätterakademin or until you request to be removed from the register. If the child turns 18 and has not yet been offered a place, all personal data will be deleted.

When your child is offered a place in Klätterakademin

Information about allergies or medical conditions (read more about sensitive personal data below)

This information is used to place children in groups according to the correct age, to administer places in the academy, and to contact parents with important information such as course start details, payment information, and more.
This information is also shared with our climbing club, Nacka Värmdö Klätterklubb, where all children become members.

Nacka Värmdö Klätterklubb registers the children with the Swedish Sports Confederation as active members of Nacka Värmdö Klätterklubb. This is so that the Swedish Climbing Federation’s climbing insurance covers all participants in Klätterakademin.

The information may also be used to send emails with information about meetups, end-of-term parties, and similar events. In every mailing that does not concern necessary information for Klätterakademin, there will be an option to unsubscribe from similar mailings.

The information is also entered into our administration tool to manage groups, track attendance, and send emails. The personal data is stored for up to a maximum of 3 years after the children stop attending Klätterakademin, as we offer the opportunity for children to rejoin within that time period.

When you register your child for a school holiday camp

This information is used to administer the holiday camp, allocate places, and organize groups. We collect contact details for guardians in order to notify them of places and to be able to contact them during the camp if necessary.
You may also be contacted after the camp with a course evaluation.

The personal data is stored for a maximum of 1 year after the camp has ended.

Incident reporting in case of accidents

This information is used to investigate the incident and determine the cause. The information may also be shared with our insurance company, as everyone who climbs at Klätterverket is insured. We may also use the information to contact the affected person and witnesses to investigate whether we can make our climbing gym safer.
The personal data is stored for a maximum of 2 years after the incident.

When you order an item to be delivered to the shop

This information is used to contact you when the item you ordered is back in stock. Providing contact details when ordering an item is completely optional, but if you choose not to do so, we cannot guarantee that the item will not sell out again before you have the opportunity to purchase it.
We store the personal data for a maximum of 1 year after the order or purchase has been completed.

WHO HAS ACCESS TO THE PERSONAL DATA?

Only relevant staff employed by Klätterverket have access to the personal data. The only exception is personal data relating to children in Klätterakademin that is registered with the Swedish Sports Confederation. In that case, the Swedish Sports Confederation’s personal data policy applies.

SENSITIVE PERSONAL DATA

Personal data considered particularly sensitive, such as medical conditions and similar information, is always deleted within 30 days after the completion of a course, camp, or activity.

YOUR RIGHT TO BE REMOVED FROM OUR REGISTERS

If you wish, you have the right to have your personal data deleted from our registers. This does not apply if you have an agreement with us that still has a remaining binding period. Agreements include membership cards, punch cards, participation in an ongoing course, or if you have an outstanding unpaid debt with us.
